Funnels are a versatile and powerful tool that allows you to do many different things. While there isn't one outcome for going through Funnels, the primary use is to generate Instant Quotes for large group events (and smaller groups).


In this article we will take a birds eye view at what it looks like to go through an Instant Quote Funnel, and the Funnel Responses and Bookings that are generated as a result.

Previewing your Funnel

You can preview your funnels at any time by clicking preview on the Funnel on the dashboard or through the action menu on the funnel in the All Funnels page (Funnels > All Funnels).

You can also preview your Funnel inside the Funnel Editor by clicking the "Open Funnel in new tab" button in the top bar.

What's inside an Instant Quote Funnel

An Instant Quote Funnel can be broken down into 9 essential steps that can be customized based on your venue's specific offerings:

  • Event Type - Allow your customers to Select their event type to show they're in the right place and categorize bookings.
  • Number of Attendees - Set the number of attendees, which will affect the availability of products, and minimum required room capacity.
  • Dates - Select dates available to accommodate the group size.
  • Guest Rooms - Typically split into 2 steps that display based on group size, small groups get full details on all available rooms and large groups see a simple version to quickly meet the lodging needs for their group.
  • Meeting Areas - Select meeting spaces to be booked for the duration of the event.
  • Activities - Select Activities to be available during the booking
  • Meals - Show customers a calendar of their meal times with the option to customize further.
  • Information Capture - Collect contact information from your customer to be able to send their invoice and follow up about the booking (Commonly paired with a promise of what the customer will receive when they leave their info).
  • The Invoice - Generate and display the invoice either inside the Funnel or redirect to the Customer Dashboard for their newly created booking

What Customers Get at the End of an Instant Quote Funnel

After completing the prior steps the data is collected to generate an invoice* for the event booking. You can choose to have the invoice generate in the Funnel using the Invoice Element where they can receive an email to access it at any time. 

The default is to create a Customer Dashboard where customers can view, print, or edit the invoice, they can also send a link to an Attendee Funnel where customers can create sub invoices using reserved inventory from the parent booking. When sub invoices are created, the owner of the parent booking can view and manage sub invoices from the People Tab.

*Invoice is the term used through the application to refer to the document customers receive to view a quote, estimate, or invoice.

What Staff see When a Customer Goes through a funnel

When a customer goes through a funnel there are 2 outcomes, Funnel Responses and Bookings. 

Bookings created from Funnels

Upon completing an Instant Quote Funnel, a booking is generated which can be found in the Booking Columns on the Staff Dashboard, or in the All Bookings Page (Bookings > All Bookings).

Wherever you find the booking you can can access the Booking Invoice page, where you can view and edit the invoice, add notes for internal use or for the customer to see, manage sub invoice, and process payments, and more. You can also access the Customer Dashboard from any of the same places and within the Booking Invoice page.

Funnel Responses

Whenever someone enters a Funnel it will start a session that will track the user's progress until the session ends. If the user complete's the Funnel or starts over the session will end.

Any of these events will log a Funnel Response which can be found on the Details page for individual Funnels or in the Funnel Responses Booking Column on the Staff Dashboard.

Every Funnel Response has a user assigned to it, though the information available for that user may be limited. When a user starts a Funnel the application remembers that user if they start a different Funnel. When a user enters their email or name in a Funnel, that user's information is updated to reflect that, allowing you to follow up with them or retarget in marketing.
